'Long Term Leave' User Status

Users can now be described in one of the following three ways:

  • active
  • disabled
  • on Long Term Leave

In an effort to provide you with a more comprehensive view of your platform's user activities, we have introduced that new third status option mentioned above, i.e. Long Term Leave. Alongside 'active' and 'disabled,' this now allows for improved reporting accuracy and ensures that your reports offer up-to-date and precise information.

User types:

  • SCIM
  • Email-based
  • Federated

How to set 'Long Term Leave' status

  • To designate a user as 'Long Term Leave,' navigate to the 'User Management' table, and under the 'Actions' column, click on the drop-down arrow.

  • Select Set Long Term Leave status, and a modal will appear through which you can choose an automatic activation date.

  • The user's status will be updated accordingly.

               

Notes

(a) User Status Visibility

  • 'Long Term Leave' users will be prominently displayed in relevant reports, offering a clear indication of their status for enhanced visibility.
  • Business Users will retain the ability to view users marked as 'Long Term Leave'.

(b) Content Access

  • Users on 'Long Term Leave' will maintain access to their assigned content and still receive emails from the platform, ensuring continued connectivity during their absence.

(c) SCIM Business Users

  • SCIM Business Users, who lack access to the 'User Management' area, won't be able to modify a user's status to 'Long Term Leave.'

(d) Reporting updates for 'Long Term Leave' Users

  • Exclusion from Adoption and Overview Statistics: 'Long Term Leave' users will be excluded from adoption or overview statistics, enhancing the accuracy of your information.
  • Audit Reports Inclusion: Audit reports will continue to include 'Long Term Leave' users, clearly indicating their status for comprehensive auditing.
  • Phish Reports Persistence: In Phish reports, 'Long Term Leave' users will persist, regardless of their status, due to the associated risk level.
  • Non-Compliance Categorisation: 'Long Term Leave' users will not be categorised as non-compliant, ensuring their omission from corresponding reports and management emails. This distinction streamlines reporting for more focused and relevant insights.

(e) Automatic Activation 

  • If a date is set for automatic reactivation, the user will be switched to 'active' status on that date, and you will receive an email confirmation.

  • Any outstanding content will have its 'send count' reset to 1, allowing the user to start receiving reminders again.
