Policy Approvals

When utilising the Approvals process within the Policy module, it is mandatory to select one rule from four available options. This selection determines how the policy approval workflow will be managed.

The following is a detailed explanation of each of the four rules:

  1. Named Approver: This rule requires that the specific Named Approver chosen from the drop-down list must give their approval for the policy. Without the Named Approver's explicit approval, the policy will not be permitted to go live or be published.
  2. Simple Majority: Under this rule, three or more approvers are assigned to the policy. For the policy to be approved, at least two of these approvers must provide their consent. This allows for a majority decision without requiring unanimous agreement.
  3. Absolute Majority: This rule also applies when three or more approvers are designated for the policy. However, unlike the Simple Majority, all assigned approvers must approve the policy for it to proceed. This ensures complete consensus among approvers.
  4. Named Approver + Simple: This combined rule stipulates that the Named Approver must approve the policy, in addition to receiving approval from at least two other approvers. If the Simple Majority approves but the Named Approver does not, the policy will not be allowed to go live. This rule provides a balance between individual responsibility and group consensus.

 

When are the approver and reviewer reminder emails sent?

Reminder emails are dispatched on a weekly basis to both approvers and reviewers. These reminders continue to be sent until the Approval Due Date specified within the policy is reached. This helps ensure that the approval process remains on track and that stakeholders are kept informed of pending actions.

  • If the Policy Due Date has already passed before the first scheduled weekly reminder, no reminder email will be sent. This prevents unnecessary notifications after the policy deadline has expired.
  • Reminders will only be issued if the policy due date remains valid and has not yet expired, ensuring that notifications are relevant and timely.

 

Is it possible to update a policy PDF while it is in the review state?

No, once a policy is in the Review state, the policy document cannot be replaced or updated. This restriction maintains the integrity of the document during the review process.

Any updates or replacements to the policy document can only be made after the policy has been fully approved or reviewed. This ensures that changes are controlled and only made at appropriate stages.

 

Who is eligible to be added as an 'approver'?

Within the Policy system, both Admins and Business Users are eligible to be assigned the role of an 'approver'. This allows for flexibility in designating responsible parties for policy approval based on organisational roles.

 

Can the Approval functionality be applied to policies that have been published via MetaEngage?

No, the Approval tool is not compatible with policies that are published through MetaEngage.

When creating a policy and selecting the option Send to MetaEngage, the Approval tab will automatically disappear and will no longer be accessible. This indicates that the approval workflow cannot be used in conjunction with MetaEngage publishing.
