Using Interaction Manager to include/exclude Phish interactions

Interaction Manager gives administrators direct control over the accuracy of their Phish Audit reporting. From within the Phish Audit report, you can now exclude interactions you know to be inaccurate — such as a test click or a false click — and restore any interaction you've previously excluded, without needing to raise a support ticket.

Why Interaction Manager Matters

Interaction Manager helps you keep your phishing simulation reporting accurate and trustworthy:

  • Faster resolution of disputed interactions — correct inaccurate data yourself instead of waiting on Support.
  • Exclude known test interactions — remove interactions generated by internal testing so they don't skew your results.
  • Restore incorrectly excluded interactions — bring back genuine interactions that were excluded in error, for example due to an incorrect IP exemption.
  • Full traceability — every inclusion and exclusion is logged with the date, time, and user responsible. The most recent exclusion audit record is shown in the UI.

Who Can Use Interaction Manager

Interaction Manager is available to administrators only. It can be used on both active and completed phishing simulations.

Where to Find Interaction Manager

Interaction Manager is accessed from within the Phish Audit report for an individual simulation:

  1. Go to Phishing > Reports and click View Audits next to the relevant simulation.
  2. Select Manage Interactions.
  3. The Interaction Manager opens, showing the Included and Excluded Interactions lists for that simulation.

Understanding the Interaction Manager

The Interaction Manager is split into two lists, each ordered from newest to oldest, with a running count of the interactions they contain for the selected simulation.

Included Interactions

This list shows every interaction currently counted in your Phish reporting, counts, and exports for the selected simulation. For each interaction you'll see:

  • Interaction Date/Time
  • Name
  • Email
  • IP Address
  • IP Organisation
  • Interaction Type (Clicked, QR Scanned, Data Entry, Attachment Opened)

Excluded Interactions

This list shows every interaction that has been removed from your reporting — whether excluded automatically by the system or manually by an administrator. For each interaction you'll see the same core details, plus:

  • Exclusion Reason — see the table below
  • Excluded By — shows System, or the email address of the administrator who excluded it

If an interaction has been excluded more than once, only the most recent exclusion is shown.

Exclusion reason Applied when
IP Exemption Shared List The interaction came from an IP address exempted by a MetaCompliance-managed rule (System).
IP Exemption List The interaction came from an IP address exempted by one of your own IP exemption rules (System).
Hidden Link The interaction was generated by a hidden tracking link rather than a genuine click (System).
Test An administrator has identified the interaction as a known internal test (User).
False Click An administrator has identified the interaction as a false or disputed click (User).

Searching and Filtering Interactions

Use the filters and search bar above each list to quickly find the interactions you're looking for.

  • Filter by Interaction Type or Exclusion Reason.
  • Search by Name, Email, IP Address or IP Organisation.

How to Exclude an Interaction

If you've identified an interaction as a test click or a false click, you can exclude it directly from the Included Interactions list:

  1. In the Included Interactions list, select one or more interactions you want to exclude.
  2. Select Exclude all selected.
  3. Choose a reason for the exclusion: Test or False Click. A reason is required.
  4. Confirm the exclusion.

The excluded interaction(s) will immediately disappear from your Phish reporting, counts, and exports, and will now appear in the Excluded Interactions list. The date, time, and administrator who made the change are recorded automatically.

How to Restore (Include) an Interaction

If an interaction was excluded incorrectly — for example because of an outdated IP exemption rule — you can restore it from the Excluded Interactions list:

  1. In the Excluded Interactions list, select one or more interactions you want to restore.
  2. Select Include all selected.
  3. Confirm the change.

The restored interaction(s) will move back into the Included Interactions list and will count towards your Phish reporting, counts, and exports again.

Updating Your IP Exemption Rules

We recommend updating your IP exemption rules when you include/exclude an interaction to ensure the same interaction isn't recorded incorrectly in future simulations.
